Front Desk Receptionist

· Responsible for ensuring consistent quality coverage of telephone/front desk activities. Provide the public with professional, efficient, effective general information  and services on a timely basis based on their needs/requests, both in-person, over the phone, and via email.

· Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.

· Ensure availability of informational handouts, promotional materials.

· Maintain clean, neat, well-stocked, and user-friendly front desk, kitchen, and reception area including current front desk manual.

· Disseminate incoming emails and mail ASAP. Record incoming packages and contact tenants for pickup.

· Coordinate with Maintenance staff to respond to tenant, staff and complex-wide facility issues.

· Assist Directors with administrative tasks including mailers, maintaining databases, and other data entry.

· Manage scheduling, cleaning, organization, and set up of training and conference rooms.

· Assist with annual onsite events.

· Receive and record incoming monies from businesses and donors.

· Create PO’s and make purchases on the behalf of the programs.

Requirements

· Bachelor’s degree in business office administration, management, or accounting recommended but combination of post high school training/education and longer term related working experience acceptable. Contact experience with public or business clientele highly preferred.

· Bilingual highly preferred.

· Excellent verbal and written communication skills.

· Strong interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

· Strong organizational, attention to detail, problem-solving, and decision-making skills

· Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Ability to work independently and as part of a team.

· Proficiency in Microsoft Office Suite (strong Outlook skills), Adobe products, and other job-related software. Technological literacy and ability to adapt, learn, and use necessary applications and programs. Salesforce experience helpful.

· Professional demeanor, positive attitude and sincere desire to help small businesses succeed are essential. Ability to communicate with small business management/ownership people on practical, realistic basis.

· Appropriate business attire is essential to convey a professional image and must always be neat, clean and appropriate for a professional office environment
